How to Set Up a One-Way Teams Meeting

Sometimes you need to deliver critical information without the typical meeting disruptions - side conversations, irrelevant objections, or off-topic contributions that derail your message. This format ensures your presentation reaches everyone clearly and efficiently, with participants joining as listeners rather than active contributors.

1. Create the Meeting

  • Schedule a new Teams meeting in your calendar
  • Add all participants to the invite

2. Configure Meeting Options

  • Open the meeting in your calendar
  • Click "Meeting Options" (opens web page)

3. Set These Controls

Who can bypass the lobby: Only me
Who can present: Only me
Allow mic for attendees: Off
Allow camera for attendees: Off
Allow chat in meeting: Off
Q&A: On

The visual version look like this:

4. Execute the Meeting

  • Join 5 minutes early
  • Admit participants from lobby in batches
  • Start presenting - they can only watch and listen
  • Participants cannot unmute, turn on camera, or chat
  • Questions: Participants click the "Q&A" button in their toolbar to submit questions
